My Medical Scribe Privacy Policy

JardogsHealth, Inc. (“JardogsHealth,” “we,” or “us”) provides the My Medical Scribe application and related services for clinicians. This Privacy Policy explains what information we collect, how we use it, and who we share it with in the My Medical Scribe mobile app.

1. Information We Collect

When you use the My Medical Scribe app, we collect:

• Account information: your name, email address, and account identifier.
• Audio recordings of the patient encounters you choose to record.
• Transcripts generated from those recordings, and the clinical notes and billing codes generated from those transcripts.
• An optional voice sample you record to help identify speakers.
• Device and diagnostic information, including crash reports and performance data, used to keep the app reliable.
• Usage information about how you interact with the app.

The audio, transcripts, notes, and codes may include protected health information (PHI) about your patients.

2. How We Collect It

Audio is captured through your device microphone only while you are recording an encounter in the app, and only after you have granted microphone permission and agreed to the data-sharing disclosure described in Section 4. Account information is provided by you or your organization. Diagnostic and usage information is collected automatically as you use the app.

3. How We Use Your Information

We use the information to:

• Transcribe your encounters and generate clinical notes and billing codes (the core function of the app).
• Deliver those notes and codes back to you and, where you direct, to your electronic health record system.
• Authenticate you and secure your account.
• Diagnose crashes, monitor performance, and improve the app.
• Provide support and communicate with you.

We do not sell your information, and we do not use it for advertising.

4. Third Parties We Share Data With

To provide the scribe service, the app shares encounter data with the following third-party service providers, who act as our subprocessors and are contractually required to protect the data to the same standard we are (including under Business Associate Agreements where PHI is involved):

• AssemblyAI receives the encounter audio to produce a real-time transcript.
• OpenAI receives the transcript to generate the clinical note and billing codes.
• Google Firebase provides authentication, secure data storage, and crash and performance reporting.

We share only the data needed for each provider to perform its function, and only after you have agreed, in the app, to sharing your data with these AI services. The app presents this disclosure and obtains your consent before any recording begins.

5. Data Security

We protect your information using administrative, technical, and physical safeguards appropriate to the sensitivity of the data, including encryption in transit and access controls. No method of transmission or storage is completely secure, but we work to protect your information and to hold our providers to the same standard.

6. Data Retention

We retain encounter audio, transcripts, notes, and codes for as long as needed to provide the service and to meet our legal, clinical, and contractual obligations, after which we delete or de-identify it.

7. Data Deletion Requests

You or your organization may request deletion of your data by contacting us at the address below. We will respond consistent with our legal and contractual obligations.

8. Children's Privacy

The app is intended for use by clinicians and is not directed to children. We do not knowingly collect personal information directly from children through the app.

9. Changes to This Policy

We may update this Policy from time to time. Material changes will be reflected by the “Last updated” date above, and, where the app's data sharing changes materially, you will be asked to review and agree again in the app.
